Setup Guide: Accommodations

This guide walks you through configuring accommodation-style products in BookThatApp (BTA). With this setup, customers can select a start date and end date, and the total cost will be calculated automatically based on a daily rate.

Before You Begin

Before completing the steps below, make sure you have enabled the Booking Widgets App Embed for your Shopify theme.

This is required for widgets to display correctly on your product pages.

Overview of the Setup

In this tutorial, you will:

• Create an accommodation product in Shopify

• Configure the product in BookThatApp

• Set capacity, availability, and pricing rules

• Configure the accommodation booking widget

Step 1: Create the Shopify Product

1. Create a product in Shopify to represent the accommodation.

2. Use Shopify variants to represent different room types.
   Example variants:

   • King Size Bed (Smoking)

   • King Size Bed (Non-Smoking)

   • Two Doubles (Smoking)

   • Two Doubles (Non-Smoking)
     
     

   You may also use variants to represent the number of nights if desired, though this is optional.

3. Enter the price for each variant.

4. Ensure Track quantity is disabled for the product.

Save the product once complete.

Step 2: Import and Configure the Product in BTA

After saving the product in Shopify:

1. From the product page, open the More actions menu.

2. Select BookThatApp Configuration.
   
   

This will import the product into BookThatApp and open the BTA Product Configuration page.

Initial Import Settings

1. If this is your first configured service, you can safely close the Import Product Settings window.

   This feature can later be used to copy settings from an existing service.

   Note: If you encounter issues during setup, please create a support ticket and our team will assist you.

Step 3: Configure Accommodation Settings in BTA

1. Set the Product profile to Room.
   
   

2. Enter the capacity (maximum number of rooms available at any given time).

3. Choose how capacity is calculated:

   • Product

   • Variant

   • Resource

   In this example, capacity is based on variants, since multiple room types are offered.

4. Set the Check-in Time and Check-out Time.

5. Define the minimum and maximum values for the Date Range (number of nights).
   
   

6. (Optional) Add a Location.
   This allows the location address to appear in reminder emails.

7. (Optional) Set a cutoff date or future days
   
   

8. (Optional) Assign colors to rooms to visually distinguish them on the Booking Overview Calendar.

9. Click Save.
   
   

Step 4: Configure Operating Hours

Operating hours determine when bookings are allowed across all services.

1. In the BookThatApp admin, go to:
   Settings → Operating Hours

2. Set your store’s opening hours.

Step 5: Enable Daily Rate Pricing

To calculate pricing based on a daily rate:

1. Navigate to:
   Settings → Order Processing

2. Enable the option:
   “Date range updates quantity”
   
   

This allows BookThatApp to calculate the total price by multiplying the daily rate by the number of nights selected.

Widget Configuration

Accommodation bookings use the same widget as product rentals, providing a modern and flexible booking experience compared to classic booking forms.

The widget includes:

• Real-time preview

• Flexible display options

• Improved performance and styling

If You Used the Setup Wizard

The Setup Wizard will automatically guide you through widget configuration.

If You Imported the Product from Shopify

Follow the steps below.

Step 6: Install and Configure the Accommodation Widget

1. In the BookThatApp admin, go to Widgets.

2. Select the Accommodation widget and click Add Widget.

3. In the widget settings, enable Allow date range
   
   

   This is required for Room-type bookings.

4. Open the Services tab:

   • Apply the widget to all products using the Room product profile, or

   • Select specific services individually.
