BookThatApp (BTA) automatically syncs customer information with Shopify, keeping your data consistent and saving you time when managing bookings.
When a booking is created from an order in your online store, a customer profile is automatically created in BTA. This means that when you create manual bookings, you can quickly select existing customers without needing to switch between screens.
⚙️ How It Works
Customers are synced between Shopify and BookThatApp under the following conditions:
New Shopify Customer → When a customer is created in Shopify (after BTA is installed), that customer will automatically appear in the BTA customer list.
New Booking Created → Whenever a booking is created (via your store or manually), the associated customer data is stored in BTA.
Manual Customer Creation → If you create a customer manually in BTA using an email that already exists in Shopify, the system will recognize and link the profile automatically.
🔁 Automatic Updates
Updates made to a customer’s email or phone number in Shopify will automatically sync to BTA.
Similarly, updates made to customer details in BTA will update the corresponding Shopify customer record.
This two-way sync ensures your customer information is always up to date across both platforms.
📥 Importing Customers Directly into BTA
If a customer already exists in Shopify but hasn't placed a booking yet (so they haven't synced to BTA automatically), you can pull them into BTA manually.
Option 1: Importing customer directly in the customers section
- In your BTA Admin, go to Customers.
- Click Import from Shopify (next to Create customer).
- In the Import Customer from Shopify window, search for the customer by name or email.
- Select the checkbox next to the customer(s) you want to bring in.
- Click Import.
Customers that have already been imported will be marked Already imported and can't be selected again.
✅ Tip: This is the fastest way to add an existing Shopify customer to BTA when you want to attach them to a manual booking right away.
Option 2: Importing while creating a booking
You can also import a customer on the fly while creating a manual booking, without leaving the booking screen:
- Proceed to the usual process of creating New booking. Refer to guide: Creating a Manual Booking
- In the Find or create customer field, click to open the dropdown.
- Select Import from Shopify.
- Search for and select the customer, then continue creating the booking as usual.
This saves you a trip to the Customers page if you just realized your customer isn't in BTA yet while you're already mid-booking.
📥 Importing Customers into Shopify
Shopify allows you to import customer data using a CSV file. To ensure BookThatApp syncs those customers correctly, make sure BTA is already installed in your store before importing.
You can either:
Add customer profiles to Shopify’s customer CSV template, or
Create your own CSV file with customer information.
⚠️ Shopify limits CSV imports to files 1 MB or smaller.
If your file is larger, simply split it into multiple smaller CSV files and import them separately.
🧭 Steps to Import Customers
In your Shopify Admin, go to Customers.
Click Import.
Select Add file, then choose your customer CSV file.
(Optional) Check Overwrite existing customers that have the same email or phone if you want to update existing profiles.
Click Import customers.
