BookThatApp (BTA) gives you the option to include a calendar reminder file in the emails it sends to your customers. This feature helps customers easily add their booking details to their personal calendars ensuring they don’t forget their upcoming event.
💡 What is a Calendar Reminder File?
A calendar reminder file (with the .ics extension) is a small file that can be opened by most email clients and calendar applications, such as Google Calendar, Outlook, or Apple Calendar.
When opened, it automatically adds the booking information (like date, time, and details) to the customer’s calendar.
This is a simple and effective way to help your customers remember their reservations or appointments.
⚙️ How to Enable or Disable the Reminder File
In the BTA app, go to the Notifications menu.
Choose the notification you’d like to modify.
You’ll see an option to include or remove the .ics file from the email.
✅ Select it to attach the reminder file.
❌ Deselect it to disable the attachment.
🕒 Why Is My Customer Seeing a Different Time Than What I Scheduled?
When you schedule a product in the app, the timezone is determined by the timezone you’ve set in your Shopify admin.
You can check or update this setting by going to:
Shopify Admin → Settings → Store Details → Standards and Formats
If your customer is in a different timezone, the reminder file (.ics) automatically adjusts the event time so it appears in their local time. This ensures customers see the correct local time for their booking.
📘 Example Scenario
Let’s take a look at how this works:
Jan runs a consulting business on the East Coast (EST).
Tom, one of her customers, lives on the West Coast (PST) — which is 3 hours behind.
Tom books a session with Jan for March 15th at 2:00 PM EST.
When Tom receives his booking confirmation email with the reminder file and opens it in Gmail, it shows March 15th at 11:00 AM PST.
That’s perfectly correct, it’s the same appointment time, just shown in Tom’s local timezone.

To customize the reminder file, follow these steps:
In the app, go to Settings → Templates.
Select the iCal template.
Edit the template as needed to adjust what appears in the reminder file.
