Waitlists: Keep Customers Connected When You're Fully Booked 📝

What Are Waitlists?

Waitlists allow customers to leave their contact details when an event or service is fully booked, so they can be notified if a space becomes available. For example, if someone cancels their appointment, customers on the waitlist will automatically receive an email so they can return to book that open spot.

This feature works with all booking widgets:  Accommodation, Activity, Class, Course,  Events List, Appointment, and Product Rental.
 

Note: Waitlists are supported across all BTA booking types — Accommodation, Activity, Appointment, Class, Course, Events List, and Product Rentals.

Setting Up Waitlists ⚙️

Enable the Waitlist Feature

1. In the app admin, select Widgets to access the widget where you want to enable waitlists
2. Check the Waitlist checkbox ✅
3. Select Save

Customize the Button Text You can change what customers see by going to the Translations tab in your widget and modifying the text in the 'Add to Waitlist' field.

 

How it Works

Now that the waitlist feature is enabled when a service/product is fully booked your customers will see the Add to Waitlist button.

Selecting the Add to Waitlist button allows the customer to enter their name and email address.

You can change the Add to Waitlist text by selecting the Translations tab found in the widget and modifying the text in the 'Add to Waitlist' field. 

Managing Your Waitlists 📊

Viewing Current Waitlists To see who's waiting for a specific service:

1. Go to the service configuration page in the app
2. Check the Waitlist section at the bottom of the page
3. Customers who signed up first appear at the top of the list
    

You can click on the view icon to view the customer details as seen below:

 

Customers who signed up first will be at the top of the list.  The app will email the first 5 customers on the list and notify them that there is space available.   It will continue to email the next 5 customers every 15 minutes until such time as the open slots are filled.

Waitlist Reports

• Current waitlists show on individual product pages for future events
• Historical waitlist data can be viewed at Reports → Waitlist in the app admin
